Key terms you'll see in AirShop and these docs. Written in plain language, no jargon.


Add New menu

Quick way to add an item, supplier, location, quote, or customer. Press ⌘; (Mac) or Ctrl+; (Windows).

Subscription

Your organization's plan and payment for AirShop access. Organization administrators manage subscription, plans, and payment at airshop.work/subscription.

AirShop

The app that helps you manage quotes, orders, and inventory for your shop or fabrication business.

Bin label

Small printed label for bins or shelves. Scan the QR code to open that item in AirShop.

Bulk import

Add or update many records at once by uploading a spreadsheet. Import organizations, customers, or inventory from Settings → Import Data.

Cold storage

Where to store items that need refrigeration. Shown on Kanban cards.

Dashboard

The main inventory screen when you open AirShop.

Embed

Code you paste into your website so the inquiry form appears right on the page.

Form drawer

The panel that opens when you click a form row. Shows the Hosted URL, Embed code, and form customization (title, fields, confirmation message).

Hosted URL

A link to your inquiry form. Share it in Instagram, email, or text. No website changes needed.

Inquiry

When someone fills out your form asking for a quote. You can turn it into a quote.

Inquiry Settings

Where you configure materials, services, referral sources, notifications, and auto-reply emails for inquiry forms.

Inventory item

A product or part you track: name, price, quantity, and where to buy it.

Item code

The short ID for each item (e.g. AC1F). When you scan a card, AirShop opens that item.

Kanban

A visual system for managing inventory and workflow. You use cards or signals to show what's in stock, what's running low, and when to reorder, so you only order what you need when you need it. Originally from Toyota and part of Lean Manufacturing.

Kanban card

Printed card (3" × 5") for your shop floor. Shows how much to order, low-stock alert, and lead time. Scan the QR to open the item.

Lead time

How many days until you receive an item after ordering it.

Lean Manufacturing

An approach to making things with less waste: fewer defects, less waiting, less overstock. Focus on what the customer needs, when they need it. Kanban, just-in-time ordering, and continuous improvement are part of it.

Location

Where you store an item: shelf, bin, or area. Managed locations have unique IDs (e.g., LOC-A1B).

Location Tag

A physical label with a QR code for a storage location. Scan to see all items in that location on your mobile device.

Low stock threshold

The quantity that triggers a "running low" alert.

Organization

Your company or team's AirShop account. Admins manage settings and who can export or import.

Organization Administrator

A person who can manage settings, subscription, imports, and exports for the organization. Only admins can access the Subscription page and Import Data.

Purchase URL

The link to buy an item from your supplier. AirShop can clean up long links automatically.

Quote

A proposal you send to a customer with prices and details. Create from an inquiry or from scratch.

Quote Grid

Your list of inquiries. Click "Create Quote" next to any inquiry to turn it into a quote.

Reorder quantity

How many to order when you're running low. Shown as ORDER on Kanban cards.

Referrals

Earn when you refer businesses to AirShop. Share your unique link; when they sign up and make their first payment, you receive a referral reward. Manage your link and view program details at Settings → Account → Referrals.

SKU

Your product or part number. Must be unique for each item.

Source

A supplier or vendor you buy from. Link sources to items for quick reordering.

Status

Where an item stands: In stock, On order, Order now, Order soon, Researching, Archived, or Unknown.

Stocktake

A physical count of your inventory. AirShop helps you track what you counted vs. what the system shows.

URL cleaning

AirShop automatically shortens and cleans up long product links when you paste them, so they stay reliable.
